Getting started
The essentials before your first show.
BeThere Shows creates phone-free live experiences without physical pouches. Guests install BeThere, complete required setup and permissions on a supported device, and scan the venue's Entrance QR. When activation is verified, phone-free mode begins and the attendee screen shows the show. Guests keep their phones throughout. Phone access is restored when the venue ends the event or when you scan the Exit QR to leave early.
The iPhone and Android apps are coming soon. Contact the BeThere Shows team to confirm pilot access, supported devices, and setup before announcing a phone-free event.
Request a pilot. The team will discuss your venue, event, device compatibility, Entrance and Exit QR placement, and release procedures. Timing, support, and pricing are confirmed in writing; an inquiry does not guarantee availability.
Attendees keep their phones. Entry uses the venue's Entrance QR rather than a physical pouch. Release happens when the venue ends the event, or when a guest leaving early scans the Exit QR. No pouch distribution or collection is required.
02
Entry and release
Scan In. BeThere. Release.
With the app installed and required setup completed, scanning the venue's Entrance QR requests authorization for the current show. When activation is verified, phone-free mode begins and the attendee screen shows the event and active status. Scanning alone does not guarantee activation; if it does not activate, ask venue staff.
Phone access is restored when an administrator ends the event in the Admin Portal, or when a guest leaving early scans the venue's Exit QR. Enforcement authority also expires after a maximum of eight hours. Restoration depends on the device and connectivity and may not happen at an exact instant. Ask staff for help if access is not restored as expected.
The portal supports operational information such as phone-free, in attendance, exited early, and needs attention, alongside the event QR code and show information. Exact attendee fields and staff access must be confirmed for your pilot; it is not intended for viewing private phone content.
Speak to venue staff. Required permissions and device compatibility affect participation. The venue is responsible for its disclosed admission policy and reasonable medical, accessibility, caregiving, and other essential accommodations.
Confirm event timing and the process for show changes with the BeThere Shows team before doors open. Connectivity and device settings can affect delivery of updates; staff should have a release assistance plan.
03
Safety and accommodations
Access to help. Accommodations. A plan for every show.
Use your phone’s emergency calling function or ask venue staff or local emergency services for help. BeThere Shows is designed to preserve emergency access and provide an SOS control, but cannot guarantee phone power, cellular coverage, or call delivery. Emergency and release behavior must be tested before each pilot.
Do not assume ordinary calls or notifications work the same way on every supported device while phone-free mode is active. If you must remain reachable, arrange an accommodation with the venue before entry and confirm an emergency contact plan.
Contact the venue before attending or at entry to arrange an accommodation. A phone-free policy must not obstruct access to help or essential accessibility needs.
A phone with no power cannot make calls or run the app. Signal loss and device settings can affect event updates. Before a pilot, confirm offline release and restart behavior on supported phones and agree on a staff assistance plan. Do not rely on untested behavior.
04
Privacy and permissions
Event information, device settings, and your choices.
BeThere needs the device permissions required to restrict distracting apps during the show; the exact list depends on iPhone or Android. Admission and early exit use the venue's Entrance and Exit QR codes, not geofencing. Review the app's permission disclosures and privacy notice before enrollment for exactly what is processed.
BeThere Shows is designed for event participation and phone-free status, not monitoring messages, photos, browsing, or screen contents. Review the app’s permission disclosures and applicable privacy notice before enrollment for the specific information processed.
No. Release ends phone-free mode; it does not itself delete account or event records. The applicable privacy notice explains retention and deletion. Use the Delete Account page or contact the BeThere Shows team for privacy or deletion requests.
Age eligibility and any required guardian authorization must be confirmed before enrollment. An all-ages admission policy does not by itself satisfy child-privacy requirements. Ask the venue and BeThere Shows team before enrolling a young attendee.
05
BeThere Moment and show content
One venue-selected image, shared across the room.
BeThere Moment is an optional, venue-selected image for one show. Set it before doors open and replace it before the show if needed. It is shown as part of the show experience on participating attendee phones and ends when the event ends.
Participating phones display the show’s artwork instead. BeThere Moment is optional, not another attendee setup step.
The experience is intended for private in-venue display without attendee save or share controls. Do not rely on it to prevent every screenshot, recording, external camera, or other capture method.
The venue must have permission to display the show artwork and Moment image, including any copyright or performer likeness rights. Only upload content you are authorized to use.
No. Phone-free participation is intended to reduce phone use, but cannot prevent every recording method or ensure every attendee participates. Do not rely on it as an absolute confidentiality or content-protection guarantee.
